If you have any question about this policy or your information, contact us using the details above.

What we collect

  • Enquiry form. Your name, email address and message, plus your company name and phone number if you give them. With the enquiry we also record the date and time, the page you sent it from and your IP address (your connection’s internet address), which helps us spot spam.
  • Emails and phone calls. If you email or phone us, we keep what you send or tell us, such as your name, contact details, drawings and details of the parts and machines you need help with.
  • Website logs. Like almost every website, our web host’s servers automatically log basic technical information when pages are requested: IP address, date and time, the page requested, browser type and the referring page. We don’t use these logs to identify visitors.

Please don’t send us sensitive personal information (for example about health) through the form. We don’t need it.

How we use it, and why we’re allowed to

  • To answer your enquiry, quote and do the work. If you’re asking about work for you or your company, this is a step you’ve asked us to take before a contract, or part of carrying out the contract. Otherwise it’s in our legitimate interests to reply to people who contact us.
  • To keep the website and form secure. We use IP addresses and server logs to block spam and abuse and to fix problems. This is in our legitimate interests.
  • To keep business records. If we do work for you, we keep the records we need for our accounts and to meet our legal obligations.

We don’t use your details for marketing lists, we don’t sell them and we don’t make automated decisions about you.

Who we share it with

Only the service providers we need to run our email and website, who handle it on our behalf:

  • Google (Google Workspace), which provides our email. Enquiries from the website form are sent to us by email through Google’s mail servers and kept in our mailbox. Google may process data outside the UK, with the safeguards required by UK law in place.
  • 20i, the UK company that hosts this website and keeps the server logs.

We may also share information where the law requires it, or with our professional advisers (such as our accountants) where needed. We never sell personal information.

How long we keep it

  • Enquiries and emails are kept for as long as we need them to deal with your enquiry and any follow-up work. If you become a customer, we keep job and invoice records for as long as needed for our business and legal records (accounting records are normally kept for six years).
  • Spam-protection records. The form keeps a scrambled (hashed) version of your IP address for up to 24 hours to stop repeated or automated sending. It is then deleted automatically.
  • Backup copies of unsent enquiries. If our email system ever fails to send an enquiry, the website keeps a copy so it isn’t lost. These copies are deleted automatically after 30 days.
  • Form log. A short technical log of form activity (for example “sent” or “blocked as spam”), which doesn’t contain what you wrote, is cleared automatically after 90 days.
  • Server logs are kept by our web host for a limited period for security and troubleshooting.

Cookies

This website doesn’t use cookies. It has no analytics or tracking, no advertising, no social media plug-ins and no embedded maps or videos, and it doesn’t load fonts or scripts from other companies’ servers. If that ever changes, we’ll update this policy and ask for your consent where the law requires it.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that’s wrong or incomplete;
  • ask us to delete your information;
  • object to us using it, or ask us to restrict how we use it;
  • ask for information you gave us to be passed to you or another organisation in a common electronic format.

Some of these rights depend on the circumstances. For example, we may need to keep invoice records by law. To use any of them, email info@tws-mail.co.uk or call +44 (0) 1706 655402. There’s normally no charge, and we’ll reply within one month.

Complaints

If you’re unhappy with how we’ve handled your information, please tell us first and we’ll try to put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We’ll update this page if the way we handle personal information changes. The date at the top shows when it was last updated.
